K-Tip: How to create and share a screenshot
If a picture is worth a thousand words, a screenshot might be worth two thousand. With so many tools available today, sharing screenshots has never been easier. Whether you’re collaborating through email, chat, or project tools, capturing and sending visuals can save time and reduce confusion.
This guide covers both Windows and macOS users, with notes on mobile and browser-based options as well.
Windows
Step 1: Press Windows + Shift + S to open the built-in Snipping Tool (previously called Snip & Sketch). This allows you to select a portion of your screen to capture. The screenshot will be copied to your clipboard.
Step 2: Paste the screenshot (Ctrl + V) directly into an email, chat message, or document. You can also open the Snipping Tool app to annotate or save the image if needed.
macOS
Option 1 – Quick Selection:
Press Command + Shift + 4 to instantly bring up a crosshair tool. Drag to select the area you want to capture.

Press Spacebar to capture a specific window instead.

The image is saved to your desktop or opens in a floating thumbnail for annotation.
Option 2 – Full Toolbar:
Press Command + Shift + 5 to open the macOS screenshot and screen recording toolbar. From here, you can:

Capture the entire screen, a specific window, or a selected portion

Record video of the full or partial screen

Choose where to save the file

Set a timer or enable microphone recording

Access built-in annotation tools (Markup)

Capture only the active window (Windows): Press Alt + Print Screen to copy just the focused window to your clipboard.

Use built-in tools for annotations:

On Windows, use the Snipping Tool to crop, highlight, and draw.

On Mac, use Markup from the floating screenshot thumbnail or open the image in Preview.

Browser screenshots:

Firefox: Right-click a page and select Take Screenshot.

Chrome: Open DevTools (Ctrl + Shift + I), then open the Command Menu (Ctrl + Shift + P) and type “screenshot” to choose from multiple options.

Third-party tools:

Windows: Try ShareX for scrolling capture, delayed shots, and automation.

macOS: CleanShot X offers advanced screenshot and screen recording features.
